Activate Your Course Folder

In order to expedite activation of Course Folders, Instructors may now activate their course folders themselves instead of filling out a form on the web and waiting for CoA-IT to do it for them. Please make the effort to read the instructions and go through the short Activation Process.

Instructors must activate the Course folder themselves...students (GTAs etc.) may not do it for them unless they were on the list that was requested from each Program.

To Activate a course folder while logged into a CoA Windows computer (Will not work over the VPN):

  1. Go the one of these links >
    \\gtcoa.coa.ad.gatech.edu\Courses (Will not work over the VPN)
    \\gtcoa\Courses (Will not work over the VPN)
    and identify the full folder name of the course you'd like to activate based on the criteria listed below:
    The course folders names are based on the following (with dashes in between each element):
    A. the Program
    B. the Course number
    C. the section number or initials of the Instructor
    D. the year and month the semester begins
    For example:  
    A.       B.     C.     D.

    If a course folder does not exist, it may be because no one has registered for it. Courses are not always immediately imported from Banner. We will be importing courses everyday…Once in the morning and once in the afternoon. In this case we’re at the mercy of OIT and the Registrar’s Office.
  2. Double click the  ~Activate-Course-Folder.cmd file within the Courses folder. (It will be at the bottom of the list.)
  3. Enter in the course folder name including the dashes and hit <Enter>
    1. If activation worked you will see a message indicating that it’s Activating the folder for you, followed by two messages saying processed dir:... and similar messages that it’s activating the folder for enrolled students.
    2. If it can't find the folder, it will notify you. Please double check to make sure the folder exists & that you are entering it correctly and run the program again. (see above)
  4. If you need to grant write access to another instructor or GTA enter their prismid(s) when it asks for additional user prism id's and hit <Enter>
    **Co-instructor or GTA prism ids may be found by using the Address book in Outlook and searching in the Global Address List for the last name. The “alias” field is the same as the prismid.**
  5. Again you should see two messages saying processed dir:...
  6. When you have entered all the GTAs or co-instructors hit Q to quit.

Access is granted immediately.

Read, Write & Delete access to all folders & subfolders is granted immediately to instructors and co-instructors/GTAs after going through the short process above.

After Activation, Students enrolled in the Course will have Read access to the main folder and Read, Write, Delete access to the Work-Area folder.

For Courses with multiple Folders (e.g. Studios) we can move all sections into a main folder and grant all instructors full access while the students will only have access to their individual folders. Please email helpdesk@coa.gatech.edu with the course folder names and the prismids of those who need access.

For Cross-Linked courses (e.g. a PUBP course that is the same as a CRP course), please email helpdesk@coa.gatech.edu with the course folder name(s), the non-COA course number, section number and prismids of those who need access.

For Mac users, please email helpdesk@coa.gatech.edu with the course folder name and the prismids of those who need access.
